The INto INdustry Programme : Terms and Conditions for Programme Participants

Participation

1 year Programme

Participants must commit to a minimum of 20 hours of training and production activities per week over the duration of the 12 month programme.  Extra tasks will be available for any participants able to contribute beyond these hours and availability should be discussed in the weekly production meeting. Participants failing to meet their 20 hours without acceptable justification will be asked to attend a meeting with production coordinators to develop a plan to improve the situation. Following this meeting, if a student is recognised to be failing to participate for these 20 hours on 3 more separate occasions, they could be asked to leave.

1 month Intensive Programme

Participants must commit to a minimum of 36 hours of training and production activities per week over the duration of the 1 month programme.  Extra tasks will be available for any participants able to contribute beyond these hours and availability should be discussed in the weekly production meeting. Participants failing to meet their 36 hours without acceptable justification will be asked to attend a meeting with production coordinators to develop a plan to improve the situation. Following this meeting, if a student is recognised to be failing to participate for these 36 hours on 2 more separate occasions, they could be asked to leave.

Part-time work outside the programme

1 year Programme

We seek to encourage and enable people from all types of economic backgrounds to participate, and as a result have created a flexible working timetable to allow people to take on part time jobs to support themselves during the programme.  However, participants are recommended to take on no more than 20 – 22 hours per week in other part time employment for the duration of the programme.* Students working for more than 20 – 22 hours who are failing to meet their programme commitments could be asked to reduce their working hours to 20 – 22 in order to fulfil their learning and training experiences on the programme.  

*From regular research we’ve found that this number of hours, even in lower paid sectors, is sufficient for participants to cover all costs of living in Barcelona, during the programme.

1 month Intensive Programme

Given the Intensive nature of the programme, any participant who intends to undertake non-programme related part-time work, should provide details to OTOXO’s directors and reach an agreement on the quantity of hours, and maintaining programme commitments.  

Intellectual property:

1 year programme: The ownership of the documentary made by programme participants and OTOXO during the 12 month of the programme is shared equally between OTOXO and all programme participants. This documentary is defined by its duration and content as projected in the public screening on the final day of production. Any profits generated by the film are split 50 / 50 between OTOXO Productions and programme participants.  

Participants cannot at any time, present the film as their own individual work, without acknowledging other co-directors.

Participants cannot at anytime, make alterations to this film in any form and present it as their own, individual work.

During the process of research and selection of final film, a number of further ideas will be shortlisted and not developed into into a film – These unselected subject matters will remain the shared property of OTOXO Productions and all participants for the duration of the programme, and participants will have the opportunity to develop them further during phase two of the programme*. During this time, the directors of OTOXO Productions can choose to join the production as advisors, executive producers, or co-directors, depending on specifics of the subject matter. At the end of the programme, all contacts/potential projects found during initial research will remain in OTOXO’s bank of gatekeepers, but participants can approach OTOXO at anytime to discuss the development of a co-production.

*Should a separate INto INdustry group find the same potential subject matter independently prior to the final three months of production, OTOXO reserves the right to proceed with this potential subject matter, granting equal research credits, and recognition, to all relevant participants.

For any further commissions or co-productions of any length, which stem directly from the film created during the programme, which are secured following the completion of the 12 month programme: Any work required will be conducted by OTOXO Productions and, when required for larger scale developments, will be supported by selected members of the original production team of programme participants.  Payment rates for additional work will be paid at the industry standard in Barcelona at the time of the work.

Following all expenses deducted in the production of the related commission or co-production, all remaining profits will be split 50 / 50 between OTOXO Productions and all participants in the programme and production.

Payment of programme fees

The directors of OTOXO Productions will always be available to discuss flexible payment plans depending on individual circumstances of selected participants, but unless otherwise agreed, participants must adhere to the following payment arrangements –

The deposit payment used by each participant to secure their place on the programme is non-refundable.

At least 35% of the full fee must be paid, at least 60 days before the programme begins.

In event of a selected and confirmed participant cancelling their place on the programme, the following refunds can be provided –

Cancelation 60 days or more, before the start date of the programme in Barcelona – The full fee will be returned, minus the deposit, and a 5% administration charge on the remainder.

Cancelation between 60 days – 30 days before the start date of the programme in Barcelona The full fee will be returned, minus the deposit, and a 10% administration charge on the remainder.

30 days or fewer before the start date of the programme in Barcelona. The participant must pay the full programme fee. The full programme fee becomes non-refundable.

Visas

OTOXO Productions will provide documentation for participants applying for visas to stay in Spain, confirming that they have been offered a place on the programme. 

Applicants must have applied for, processed and had confirmation of the success of their visa application 2 months before the start of production. In the vast majority of cases, applications are successful, however, on the odd occasion that the application is unsuccessful, OTOXO Productions will refund the applicant’s deposit in full, provided that this issue is communicated to OTOXO Productions, at least 2 months before the beginning of the programme. 

If the applicant has not processed their visa in this time, then they risk losing their place on the programme. (NB We don’t take this step to make things difficult for anyone. Quite the opposite – by setting this deadline we ensure that all participants have sufficient time to get everything organised and in place for their arrival.

Communications

As the programme relies on a carefully selected and balanced team, we begin communication with team members from the moment of their selection. As such we request that all pre-programme correspondence be replied to with in 28 days of the email being sent. failure to do so could, in certain cases, result in the offer of a place being withdrawn and the deposit being lost.

If a selected participant intends to be uncontactable by email communications for more than 28 days, they should inform OTOXO Productions prior to this.

Accommodation

Finding accommodation is ultimately the responsibility of each individual participant. However we are always happy to help you through this process, with recommendations of which websites to use, the best neighbourhoods to live in and what to expect to pay. 

We also put all participants in contact with each other, as they usually choose to share the process of looking for accommodation and sometimes end up living together.
